How to unify data scattered across a dozen tools

Almost every SMB we meet has the same problem: the data exists, but it is spread across a dozen tools that do not talk to each other. Nobody trusts any single number because every tool tells a slightly different story. Unifying it is less about technology than about method.

Step 1: map before you move anything

List every source, who owns it, how often it changes, and which fields actually matter. Most data chaos comes from copying data between tools by hand. You cannot fix what you have not mapped. This is exactly what a data audit delivers.

Step 2: pick one source of truth

For each type of data (contacts, orders, products) decide which tool is the reference. Everything else syncs to it, not the other way around. Without this rule, you just move the mess somewhere new.

Step 3: automate the sync, kill the copy-paste

  • Connect sources through their APIs or an automation layer (n8n, scheduled jobs)
  • Clean as data flows in: deduplicate, normalise formats, fill gaps
  • Run it on a schedule so the unified base stays current without manual effort
  • Add source tracking so you always know where a record came from
